Zoom RTMS Integration Guide
How to install, use, and uninstall Note Genie RTMS for Zoom.

Overview
Note Genie RTMSuses Zoom's official Realtime Media Streams API to capture your meeting audio in real time and turn it into searchable transcripts and AI-powered summaries — without sending a bot to your meetings.
Unlike traditional notetaker bots that join your meetings as a separate participant, Note Genie RTMS receives the audio stream directly from Zoom's servers via a secure WebSocket connection. There's no extra attendee in the participant list, no awkward 'Note Genie has joined' notification, and no bot for other meeting participants to wonder about.
Requirements
- An active Zoom account (Pro tier or higher recommended for hosting)
- A Note Genie account (free or paid — sign up at notegenie.org)
- Zoom desktop client version 5.7.3 or later
- An internet connection during your meetings
Installing the app
There are two ways to install Note Genie RTMS:
Option 1 — Install from notegenie.org (recommended)
- Sign in to your Note Genie account at notegenie.org/login.
- Navigate to notegenie.org/integrations.
- Find the Zoom RTMS integration card and click Connect Zoom RTMS.
- You will be redirected to Zoom's OAuth consent screen. Make sure the "Enable auto-start when users joining meetings" checkbox is checked, then click Allow.
- You will be redirected back to the Note Genie integrations page with a confirmation that Zoom RTMS is connected.
Option 2 — Install from the Zoom Marketplace
- Visit the Note Genie RTMS listing on the Zoom App Marketplace.
- Click Add and follow Zoom's standard OAuth consent flow.
- After authorization you will be redirected to notegenie.org/integrations to complete the link.
Using the app
Once installed, Note Genie RTMS works automatically. There are no settings to configure per meeting and no buttons to click during your meetings.
- Host a Zoom meeting as you normally would. You can use the Zoom desktop client, Zoom web client, or Zoom mobile apps.
- Talk normally during your meeting.Note Genie receives the audio stream in real time via Zoom RTMS. You won't see any in-meeting indicator from Note Genie because the integration is invisible by design.
- End the meeting when you're done. Within 30–60 seconds of hanging up, the recording, full transcript, and AI-generated summary will appear in your Note Genie library.
Each meeting captured via RTMS gets the full Note Genie treatment: speaker labels (when available), word-level timestamps, key takeaways, action items, decisions, and next steps. You can search across all your meetings, organize them into folders, share via secure links, and export as PDF.
Privacy and data handling
Note Genie takes meeting privacy seriously. Here's exactly what we collect and what we don't.
What we collect
- The mixed audio stream from Zoom meetings you host or join after explicitly authorizing Note Genie via OAuth
- Meeting metadata: meeting UUID, topic, start time, duration, and participant Zoom user IDs (used for speaker diarization)
- Your Zoom account email and Zoom user ID, used to route incoming events to the correct Note Genie user
What we do not collect
- Video streams (we receive audio only)
- Screen share content
- In-meeting chat messages
- Recordings of meetings you join as a guest without explicitly authorizing the app
- Data from meetings outside of when Note Genie RTMS is actively connected
How we store it
- OAuth tokens are encrypted at rest with AES-256-GCM in our PostgreSQL database
- Audio recordings are stored encrypted on Cloudflare R2 (US region)
- All connections between Zoom, Note Genie, and our storage providers use TLS 1.2 or higher
- Audio data is buffered in memory only during processing — never written to local disk on our servers
Third-party processors
Note Genie uses the following processors for transcription and summarization. All audio data flows under their respective Data Processing Addendums.
- Deepgram — speech-to-text transcription. Does not retain audio after processing.
- OpenAI — meeting summarization. Does not use API data for model training under their enterprise terms.
- Cloudflare R2 — encrypted storage at rest.

Uninstalling the app
You can disconnect Note Genie RTMS from your Zoom account at any time. Disconnection takes effect immediately and stops all future data collection.
Option 1 — Uninstall from Note Genie
- Sign in to Note Genie at notegenie.org/login.
- Navigate to notegenie.org/integrations.
- Find the Zoom RTMS integration card and click Disconnect.
- Confirm the disconnect prompt. Note Genie immediately deletes the encrypted OAuth tokens from our database.
Option 2 — Uninstall from Zoom
- Sign in to the Zoom App Marketplace.
- Find Note Genie RTMS in your installed apps list.
- Click into the app and click Remove app.
- Confirm. Zoom revokes our access tokens immediately.
After disconnection, your existing recordings and transcripts in your Note Genie library are unaffected — they remain available unless you explicitly delete them. To permanently delete all your Note Genie data, go to notegenie.org/settings and delete your account, which cascades to all recordings, transcripts, and tokens within 30 days.
Troubleshooting
My meeting transcript isn't showing up
After ending a meeting, transcripts typically appear in your library within 30–60 seconds. If you don't see one within 5 minutes:
- Confirm Note Genie RTMS shows as Connected on notegenie.org/integrations
- Confirm you were the meeting host (RTMS only fires for the meeting host's account, not guests)
- Check that you authorized the app with the auto-start checkbox checked during OAuth — without this, RTMS won't fire automatically
- If you recently reconnected the integration, try hosting a fresh meeting (not rejoining the previous one)
I see two Note Genie apps in my Zoom Marketplace
Note Genie has two separate Zoom Marketplace apps: Note Genie AI for cloud recording import and Note Genie RTMS for realtime audio streaming. They are complementary — you can install both, or just one. They don't interfere with each other.
Can I use Note Genie RTMS for meetings I'm a guest in?
Currently, RTMS only fires for meetings you host. For meetings where you're a guest, you can use the Note Genie cloud bot (a separate feature) or the Note Genie Chrome extension to capture audio.
